Performs a variety of specialized clerical activities to support the functions and services of the Bureau, department or organizational unit to which assigned.
Works under the supervision of the Parks and Recreation Director, Administrative Supervisor and Special Events Coordinator.
May exercise supervision over no one.
ESSENTIAL DUTIES AND RESPONSIBILITIES
" Under general supervision, works from instructions and standard knowledge of Department's operational policies, procedures and routines.
" Plans and arranges work priorities and schedules for self and supporting staff based on general assignments, projects and deadlines for completion provided by supervisor.
" Types letters, memos and composes correspondence in accordance with standard policies where format and appearance are critical.
" Answers telephones, interviews and screens callers, answers varied questions and inquiries, explains policies & procedures.
" Maintains data of confidential and sensitive information.
" Receives callers to the department or office and resolves routine questions or problems independently.
" Compiles data for administrative analysis.
" Prepares complex worksheets and tables and makes varied mathematical computations on materials assembled.
" May develop and compile agendas for meetings, attend and take minutes of meetings, records resolutions and motions, prepares and distributes transcripts of discussion, and prepares permanent minutes.
" Installs and maintains complex filing system.
" Performs account and statistical tasks such as preparing payroll time sheet, assists in compiling General Fund budget unit production and cost data, compiling and preparing income and expense reports, routine office forms.
" Responsible for payroll, invoice payments, blanket orders, and similar items.
" Maintains payroll and related records.
" Upgrades office systems, records and suggests improvements for future clerical needs of the department.
" Requisitions and controls supplies for Department as necessary.
" Provides support to staff within the department.
" Manages e-mail inquiries.
" Interprets City and departmental rules, regulations and procedures which are applicable to the Department.
" Keeps track of office procedures and systems.
" Assists in maintaining all office equipment - fax machines, various printers, copiers.
" Knowledgeable in Microsoft Word, Outlook, Excel, Eden, Lucity and City Systems.
" Clerical duties typically include, but are not limited to the following type of activities: compiles & checks administrative data from the bureau's records, reports and budgetary accounts. May establish or update Excel spreadsheets.
" Processes a variety of documents and forms involving the unit's functions and services.
" May collect and deposit monies from the public and other users' of Department services.
" Performs other duties, including those of other classifications (higher and lower). Observes rules and practices on quality of work, personal conduct, and safe, effective, and courteous service to the public and community.
" Performs related work as may be required.
" Provide quality and effective customer service with courtesy and understanding to our customers, citizens, and internal departments.
Education and Experience:
A. Graduation from high school, including or supplemented by courses and experience in clerical work; or any equivalent combination of education and experience providing the knowledge, skills, and abilities listed above.
B. One year related work experience is desirable and considerable knowledge of Microsoft Word, Excel and Outlook, computer terminals and other personal computer software.
C. Equivalent combination of related education and experience.
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES
A. Knowledge of Business English, spelling and arithmetic.
B. Knowledge of modern office practices, procedures, and equipment (i.e. computer, fax copier, etc.).
C. Detailed knowledge of principles of office management, and standard record keeping.
D. Ability to understand and follow moderately complex oral and written instructions.
E. Ability to express ideas clearly, both orally and in writing.
F. Ability to interpret rules, regulations and policies and to make informed decisions based on understanding of the same.
G. Considerable experience in a responsible clerical capacity, completion of standard high school course and continuing education in business courses, college or university courses or equivalent experience or training in same.
H. Ability to prepare clear and concise reports.
I. Ability to deal courteously and tactfully with the public of the utmost importance.
J. Ability to establish and maintain effective working relationships with superiors, other employees and the public. Successful customer service experience and a proven ability to deal with the public are essential.
K. Ability to maintain confidentiality of financial, personal and business information is essential.
TOOLS AND EQUIPMENT USED
Requires intensive daily use of computer, calculator, copiers, fax machines, regular and color printers.
